Welcome to CaringIQ. These Terms of Service govern your access to and use of CaringIQ's website, applications, AI assistant, tools, dashboards, document features, task features, reminders, transcription features, and related services.
CaringIQ is designed to help families coordinate the administrative work of caregiving. CaringIQ does not replace doctors, lawyers, financial advisors, licensed caregivers, emergency services, or other professionals. In a medical emergency or safety emergency, call 911 or contact appropriate emergency services directly.
We built CaringIQ to support families through one of life's hardest journeys. These Terms exist to keep that relationship clear and your family's information protected. Please read them, and reach out to support@caringiq.com if anything is unclear.
Please read these Terms carefully. By creating an account, accessing CaringIQ, using CaringIQ, inviting others to a care circle, uploading information, or otherwise using the Services, you agree to these Terms.

You may use the Services only if you:
-
Are at least 18 years old;
-
Are located in the United States;
-
Use the Services for personal or family caregiving coordination; and
-
Have authority to provide, upload, manage, or share the information you submit to the Services.
The Services are not intended for use by children. You may not create an account or use the Services if you are under 18.
The Services are not authorized for use outside the United States.
3. Personal and Family Use Only
CaringIQ is intended for personal and family caregiving coordination.
You may invite family members, friends, spouses, and individual caregivers to participate in a Care Circle for personal or family caregiving purposes.
The Services may not be used by home health agencies, healthcare providers, hospitals, care facilities, professional caregiving businesses, fiduciary service providers, law firms, financial advisory firms, insurance companies, or other commercial organizations to provide services to their own clients, patients, residents, members, customers, or accounts unless CaringIQ has entered into a separate written agreement with that organization.
An individual caregiver may participate in a family's Care Circle if invited by the Account Owner, but may not use CaringIQ as a commercial care-management platform for multiple unrelated clients without CaringIQ's separate written permission.
4. Care Recipient Authority and Care Circle Permissions
You are responsible for ensuring that you have the right and authority to upload, enter, share, manage, or disclose information about any Care Recipient or other person whose information you provide through the Services.
By uploading or sharing information about a Care Recipient, you represent and warrant that:
-
You have authority, consent, legal right, or another valid basis to provide that information to CaringIQ;
-
You have authority to invite others to access that information, if you invite them;
-
The information you provide is not unlawfully obtained or unlawfully disclosed;
-
You will not use the Services to violate another person's privacy, confidentiality, property, contractual, or legal rights; and
-
You will manage your Care Circle responsibly.
When you invite someone to a Care Circle, you authorize CaringIQ to make Customer Content available to that person according to the permissions, roles, settings, and features available in the Services.
Invited Users may be able to view, add, edit, comment on, assign, complete, export, copy, screenshot, download, or otherwise act on Customer Content depending on available permissions and product features. CaringIQ is not responsible for actions taken by people you invite.
You are responsible for removing Invited Users who should no longer have access. Removing an Invited User may prevent future access through the Services, but it may not delete copies, screenshots, exports, notes, emails, or information the Invited User previously accessed outside the Services.
If a Care Recipient is a competent adult and you do not have legal authority or another valid basis to use the Services on their behalf, you must obtain their consent before uploading, sharing, or managing their information through the Services. Care Recipients who have questions or concerns about information provided about them may contact CaringIQ at privacy@caringiq.com.
5. No Medical, Legal, Financial, Fiduciary, or Professional Advice
CaringIQ is an administrative coordination platform. CaringIQ, Cari, and the Services do not provide Professional Advice.
You agree that:
-
CaringIQ does not provide medical advice, diagnosis, treatment recommendations, triage, therapy recommendations, medication recommendations, dosage recommendations, or clinical decision-making;
-
CaringIQ does not provide legal advice, legal document interpretation, estate planning advice, guardianship advice, power-of-attorney advice, or attorney-client services;
-
CaringIQ does not provide financial, investment, tax, insurance, benefits, fiduciary, or accounting advice;
-
CaringIQ does not create a physician-patient, attorney-client, financial advisor-client, fiduciary, therapist-client, caregiver-client, or other professional relationship;
-
CaringIQ does not replace licensed professionals, professional caregivers, emergency services, or your own judgment; and
-
You are solely responsible for seeking guidance from qualified professionals before making medical, legal, financial, fiduciary, clinical, emergency, safety, or other important decisions.
You should not rely on the Services for diagnosis, treatment, medication changes, therapy choices, legal determinations, financial planning, insurance decisions, fiduciary decisions, eligibility decisions, or emergency response.
6. Not for Emergencies, Crisis Situations, or Monitoring
CaringIQ is not an emergency service. The Services are not designed, intended, or authorized for emergencies, crisis situations, urgent medical issues, safety emergencies, abuse reporting, neglect reporting, clinical monitoring, medication monitoring, fall detection, emergency alerts, or emergency response.
In a medical emergency or safety emergency, call 911 or contact appropriate emergency services directly.
Do not wait for, rely on, or expect CaringIQ, Cari, notifications, reminders, summaries, tasks, or any User to detect, escalate, respond to, or resolve an emergency.
CaringIQ does not guarantee that it will identify urgent issues, missed tasks, medication concerns, safety issues, abuse, neglect, fraud, financial exploitation, clinical deterioration, or other risks.
If CaringIQ becomes aware of information that we reasonably believe may involve an imminent threat of serious physical harm, a serious crime, or a security threat to the Services, we may take steps we deem appropriate, including contacting you, restricting access, preserving information, or contacting emergency services or law enforcement. We are not obligated to monitor Customer Content and do not assume any duty to detect or respond to emergencies.
7. AI Features and Cari
The Services use artificial intelligence, large language models, machine learning systems, speech-to-text systems, natural language processing tools, and related technologies to provide Cari and other AI features.
Cari may generate AI Outputs such as summaries, reminders, suggestions, classifications, questions, extracted information, transcription results, next-step lists, and search results.
You acknowledge and agree that:
-
AI Outputs may be inaccurate, incomplete, outdated, biased, misleading, fabricated, or unsuitable for your circumstances;
-
AI Outputs may omit important information;
-
AI Outputs may misunderstand Customer Content or context;
-
AI Outputs may produce similar or identical responses for different users;
-
AI Outputs are informational and administrative only;
-
You are responsible for independently reviewing and verifying AI Outputs before using them;
-
You are responsible for all decisions, actions, omissions, and outcomes based on AI Outputs; and
-
You should not rely on AI Outputs for Professional Advice, emergencies, or high-stakes decisions.
Cari may help organize information, but Cari does not decide what is true, what is safe, what is medically appropriate, what is legally valid, what is financially prudent, or what your family should do.
8. AI Providers and Model Training
CaringIQ may use third-party AI service providers, transcription providers, cloud providers, and other subprocessors to provide AI features.
We do not use identifiable Customer Content to train, fine-tune, or improve CaringIQ AI models or third-party AI models, unless you give us express permission.
We require our AI providers, through contract terms, account settings, or other controls, not to use identifiable Customer Content to train their AI models for their own purposes or for the benefit of other customers.
We may use aggregated or de-identified information to operate, analyze, secure, improve, and develop the Services, including AI features, provided that such information does not identify you, a Care Recipient, your household, or your Care Circle.
Additional information about our use of service providers and subprocessors is described in our Privacy Policy and on our Subprocessors page.
9. Customer Content
You retain ownership of your Customer Content.
You grant CaringIQ a limited, non-exclusive, worldwide, royalty-free license to host, store, process, transmit, display, copy, analyze, transcribe, summarize, classify, retrieve, organize, and otherwise use Customer Content as necessary to:
-
Provide the Services;
-
Make Customer Content available to you and your Care Circle according to your settings and permissions;
-
Generate AI Outputs;
-
Provide support;
-
Maintain, secure, debug, and improve the Services;
-
Comply with law;
-
Enforce these Terms; and
-
Protect CaringIQ, Users, Care Recipients, and others.
This license ends when your Customer Content is deleted from the Services, except to the extent Customer Content remains in backups, legal records, security logs, billing records, aggregated or de-identified data, or other retained records permitted by these Terms, our Privacy Policy, or applicable law.
You are responsible for the accuracy, legality, reliability, and appropriateness of Customer Content.
10. AI Outputs and Ownership
Subject to these Terms, CaringIQ assigns to you any rights we may have in AI Outputs generated specifically for you through the Services, to the extent permitted by applicable law.
Because AI systems can generate similar or identical outputs for different users, you acknowledge that:
-
AI Outputs may not be unique;
-
Other users may receive similar or identical outputs;
-
CaringIQ does not guarantee that AI Outputs are protectable by intellectual property rights;
-
CaringIQ does not guarantee that AI Outputs do not infringe third-party rights; and
-
You are responsible for how you use, share, or rely on AI Outputs.
CaringIQ retains all rights in the Services, Cari, our software, models, prompts, systems, designs, workflows, technology, documentation, and underlying intellectual property.
11. Accounts and Security
You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account.
You agree to:
-
Provide accurate account information;
-
Keep your account information current;
-
Use reasonable measures to protect your account;
-
Not share your password with unauthorized persons;
-
Promptly notify CaringIQ of any unauthorized access or security concern; and

Manage Care Circle access responsibly.
We may suspend or restrict access if we reasonably believe there is unauthorized access, misuse, security risk, violation of these Terms, or risk of harm.
12. Reminders, Tasks, Notifications, and Communications
CaringIQ may provide reminders, tasks, summaries, assignments, alerts, email notifications, push notifications, in-app notifications, calendar features, or other communications.
These features are for convenience only. CaringIQ does not guarantee that any reminder, task, notification, summary, or alert will be accurate, timely, delivered, received, viewed, acted upon, or appropriate.
You are responsible for independently tracking important appointments, medications, deadlines, documents, payments, legal obligations, clinical instructions, and other time-sensitive matters.
You may receive service-related communications, including account, security, billing, support, and product notices. You may opt out of certain marketing communications, but not essential service communications.
13. Transcription, Audio, Voicemail, and Forwarded Communications
The Services may allow you to upload, dictate, forward, or transcribe audio, voicemail, emails, messages, or other communications.
You are responsible for complying with all applicable laws and obtaining any required consents before recording, uploading, forwarding, sharing, or transcribing any communication.
Transcriptions and summaries may be inaccurate or incomplete. You are responsible for reviewing original materials before relying on a transcription, summary, or extracted information.
14. Third-Party Providers, Vendors, and Local Services
CaringIQ may help you organize, locate, compare, or track information about third-party providers such as transportation providers, meal services, home repair providers, contractors, administrative vendors, facilities, billing departments, or other service providers.
CaringIQ does not endorse, verify, credential, employ, supervise, insure, recommend, or guarantee any third-party provider.
You are solely responsible for evaluating, selecting, hiring, contracting with, paying, supervising, and monitoring any third-party provider.
CaringIQ is not responsible for the acts, omissions, quality, pricing, licensing, safety, availability, negligence, misconduct, or performance of any third-party provider.
15. Third-Party Services and Integrations
The Services may integrate with or link to third-party products, websites, tools, payment processors, communication services, email providers, cloud providers, AI providers, analytics providers, or other services.
Third-party services are governed by their own terms and privacy policies. CaringIQ is not responsible for third-party services, even if they are linked from or integrated with the Services.
Your use of third-party services is at your own risk.
16. Privacy
Our Privacy Policy explains how we collect, use, disclose, retain, and protect personal information and Customer Content.
By using the Services, you acknowledge that you have reviewed our Privacy Policy.
If there is a conflict between these Terms and the Privacy Policy regarding how we handle personal information, the Privacy Policy will control for that issue.
17. HIPAA Positioning
CaringIQ is designed for personal and family caregiving coordination.
Unless CaringIQ enters into a separate written agreement expressly stating otherwise, CaringIQ is not intended to be used by healthcare providers, health plans, healthcare clearinghouses, or other HIPAA covered entities to provide services to their patients, members, or clients.
Unless CaringIQ enters into a separate written business associate agreement, CaringIQ is not acting as a HIPAA business associate.
You agree not to use the Services on behalf of a HIPAA covered entity or business associate unless CaringIQ has entered into a separate written agreement authorizing that use.
Nothing in these Terms prevents CaringIQ from using safeguards, procedures, or privacy practices that are designed to protect health-related information.
18. Security
CaringIQ uses commercially reasonable administrative, technical, and organizational safeguards designed to protect the Services and Customer Content.
These safeguards may include encryption in transit, encryption at rest, secure cloud hosting, access controls, logging, monitoring, vulnerability scanning, and restrictions on human access to Customer Content.
